1. Business Identity

2. Reservation Policy

By completing a reservation through our online booking system, you agree to the following terms:

  • Free cancellation: You may cancel your reservation at any time without penalty. We kindly ask that you inform us as early as possible so we may offer the table to other guests.
  • 30-minute arrival window: Reservations are held for 30 minutes past the booked arrival time. If you expect to be late, please contact us by phone. If we do not hear from you within 30 minutes of your reservation time, we reserve the right to release your table to other guests, and the reservation will no longer be guaranteed.
  • No right of withdrawal: In accordance with EU Directive 2011/83/EU, Article 16(l), the right of withdrawal does not apply to services related to leisure activities provided on a specific date. As our reservations are for specific dates and times, the 14-day cooling-off period does not apply.

3. Event Ticket Purchases

Certain events at Domaine Florian require advance ticket purchase. The following terms apply to paid event bookings:

Right of Withdrawal Exemption

In accordance with Article 16(l) of EU Directive 2011/83/EU and Article 3ζ(1)(ιβ) of Greek Law 2251/1994, the 14-day right of withdrawal does not apply to contracts for leisure activities where a specific date of performance is provided. By completing your purchase, you acknowledge and accept this exemption.

Cancellation & Refund Policy

  • Cancellation more than 8 hours before the event: Full refund of the ticket price, processed to your original payment method within 14 business days.
  • Cancellation 8 hours or less before the event: No refund will be issued.
  • No-show: No refund will be issued.

Event Cancellation by the Organizer

If we cancel an event, you will receive a full refund within 14 business days. If we reschedule, you may attend on the new date or request a full refund.

Payment Processing

Payments are processed securely by Viva Wallet (Viva.com). Your payment details are handled entirely by Viva Wallet and are never stored on our servers.

You can cancel via the cancellation link in your confirmation email or by contacting us at events@domaineflorian.com.

4. Data Protection & Privacy

We are committed to protecting your personal data in accordance with the General Data Protection Regulation (EU) 2016/679 (GDPR) and Greek Law 4624/2019.

Data We Collect

When you make a reservation, we collect your name, email address, and phone number for the purpose of managing your booking and communicating with you about your reservation.

Legal Basis

  • Reservation data: Processing is necessary for the performance of a contract (GDPR Article 6(1)(b)) — your reservation.
  • Marketing communications: Based on your explicit consent (GDPR Article 6(1)(a)), which is optional and not required for booking.

Data Retention

Your personal data is retained for 24 months after your last reservation. After this period, your data will be deleted unless you have provided consent for marketing communications, in which case only the data necessary for that purpose will be retained until consent is withdrawn.

Your Rights

Under the GDPR, you have the right to:

  • Access your personal data (Article 15)
  • Rectify inaccurate data (Article 16)
  • Request erasure of your data (Article 17)
  • Restrict processing (Article 18)
  • Data portability (Article 20)
  • Object to processing (Article 21)
  • Withdraw consent at any time (Article 7(3))

You also have the right to lodge a complaint with the Hellenic Data Protection Authority (HDPA): Kifisias 1-3, 115 23 Athens, www.dpa.gr.

5. Marketing Communications

During the booking process, you may optionally consent to receive:

  • Email newsletter: Approximately once per month with information about upcoming events and special offers.
  • Viber messages: Approximately 1-2 times per month with information about events, offers, and news.

Each communication channel requires separate, explicit consent. Neither is required to complete a reservation. You may withdraw your consent at any time:

Withdrawing consent is free and will not affect the lawfulness of processing based on consent before its withdrawal.

6. Alcohol Policy

In accordance with Greek Law 3730/2008, alcoholic beverages will not be served to persons under the age of 18. This applies to all drinks, including wine served during tastings and dining.

Participation in wine tasting events is restricted to persons aged 18 and over. Proof of age may be requested. We reserve the right to refuse service of alcohol to any person who cannot provide valid identification upon request.

7. Allergen Information

In accordance with EU Regulation 1169/2011 (Food Information to Consumers), we inform you that our dishes and drinks may contain or come into contact with the 14 major allergens:

Cereals containing gluten, crustaceans, eggs, fish, peanuts, soybeans, milk (including lactose), nuts (almonds, hazelnuts, walnuts, cashews, pecans, Brazil nuts, pistachios, macadamia), celery, mustard, sesame seeds, sulphur dioxide and sulphites, lupin, and molluscs.

All our wines contain sulphites.

If you have any food allergies or intolerances, please inform our staff before ordering. While we take every precaution, we cannot guarantee a completely allergen-free environment due to the nature of our kitchen and production operations.

8. No Smoking Policy

In accordance with Greek law (Laws 3868/2010 and 4633/2019), smoking is strictly prohibited in all indoor areas of our premises. This includes, without limitation:

  • Cigarettes
  • Electronic cigarettes and vaping devices
  • Cigars and cigarillos
  • Heated tobacco products
  • Any other smoking or nicotine delivery devices

Designated outdoor areas may be available for smoking.

9. Pet Policy

Dogs are welcome on our terrace and outdoor areas only. For the comfort of all guests, pets are not permitted in indoor dining areas.

Service animals are welcome in all areas of our premises in accordance with applicable law. Dogs must be kept on a leash at all times.

10. Liability

  • Guest responsibility: Guests are responsible for any damage caused to our property, furnishings, or equipment during their visit.
  • Personal belongings: Domaine Florian is not liable for the loss, theft, or damage of personal belongings left on the premises.
  • Force majeure: We shall not be held liable for failure to fulfil our obligations due to circumstances beyond our reasonable control, including but not limited to natural disasters, extreme weather, power outages, public health emergencies, government orders, or other events of force majeure. In such cases, we will make reasonable efforts to notify affected guests and offer alternative arrangements where possible.

11. Cookies & Tracking Technologies

Essential Cookies

We use strictly necessary cookies that do not require consent:

  • cookie_consent — Stores your cookie preference (accept/reject). Browser localStorage.
  • df_consent — Mirrors the above into a readable cookie so our server respects your choice on every request. 90 days.

Analytics & Advertising (consent required)

The following are only activated after you click "Accept all" in the cookie banner. If you reject, none of these cookies are set and no personal data is shared with third parties.

  • Meta Pixel (Facebook Pixel) — Provided by Meta Platforms Ireland Ltd (controller for EEA users). Loaded in your browser. When activated, it collects:
    • Pages visited on our website
    • Booking actions (e.g. completed reservations)
    • Device information (browser type, operating system, screen resolution)
    • IP address
    • Meta cookie identifiers (_fbp, _fbc) and Facebook user ID if you are logged in
    • The fbclid parameter appended by Meta to ad URLs
  • Meta Conversions API (CAPI) — Server-to-server transmission to Meta Ireland Ltd of booking and payment events. In addition to the browser-based Pixel, our server forwards the same events directly to Meta so that advertising measurement is not affected by browser limitations (e.g. iOS App Tracking Transparency, ad blockers). The data we transmit per booking / purchase event is:
    • SHA-256 hashes of your email address, phone number, first name and last name
    • Your IP address and user-agent string (required by Meta for matching)
    • The Meta click identifier (fbc) derived from fbclid if present
    • A deduplication event_id used to merge with the corresponding Pixel event so the same booking is not counted twice
    • Event metadata: event name (Lead or Purchase), monetary value, currency, booking reference

    Plain-text contact details are never sent. Meta acts as an independent controller for these events for its own advertising-measurement purposes, as described in the Meta Controller Addendum.

  • First-party attribution cookies and storage — If you arrive via one of our ads, we set:
    • df_visitor — httpOnly first-party cookie, 400 days. A random identifier used to correlate your visit with a later booking.
    • df_session — session cookie for joining visit data to booking-form interactions.
    • df_tracked — 30-minute throttle cookie to avoid duplicate visit rows.
    • df_attribution_v1 (browser localStorage, 90 days) — stores the UTM parameters (utm_source, utm_medium, utm_campaign, utm_content, utm_term) and fbclid / gclid from the URL of your first and most recent visit, so we can attribute your booking to the correct ad.

    The server also stores one row per visit in an ad_visits database table containing: a SHA-256 hash of your IP address (plain IP is never written), user-agent, country (derived from Cloudflare's request metadata), referrer URL, landing URL, device type, UTM parameters, and click IDs.

  • Microsoft Clarity — Provided by Microsoft Corporation. Session recording and heatmap tool active only on our booking pages (/book). Collects mouse movements, clicks, scroll behaviour, device info and an anonymized IP. Form-field contents are automatically masked. See the Microsoft Privacy Statement.

Purposes of processing

  • Measure the performance of our Facebook/Instagram advertising campaigns (CPA, ROAS, conversion rates)
  • Attribute bookings to specific campaigns and creatives (first-touch and last-touch attribution)
  • Build custom audiences for targeted advertising and exclude existing customers from acquisition campaigns
  • Optimize ad delivery via Meta's machine learning to reach people likely to be interested in our events
  • Identify usability issues in our booking process (via Clarity)

International data transfers

Meta Platforms Ireland Ltd acts as the EEA-facing controller; however, data may be transferred to Meta Platforms, Inc. in the United States. Meta Platforms, Inc. is certified under the EU–U.S. Data Privacy Framework (DPF), which the European Commission has recognised as providing an adequate level of protection (Commission Implementing Decision (EU) 2023/1795 of 10 July 2023). Where the DPF does not apply, transfers are made under the EU Standard Contractual Clauses (SCCs) adopted by Commission Implementing Decision (EU) 2021/914. Microsoft Corporation is likewise DPF-certified. For details see the Meta Privacy Policy.

Retention periods

  • Browser storage: df_attribution_v1 90 days, df_visitor 400 days, df_tracked 30 minutes, df_consent 90 days.
  • Server ad-visit log: 14 months from the date of the visit, then deleted.
  • Attribution data on reservations: retained with the reservation for 24 months after your last interaction, consistent with the general reservation-data retention set out in Section 4.
  • Ad-spend data from Meta Marketing API: our own advertising account data (no individual user data), retained indefinitely for historical reporting.

Cookieless analytics

We also use Cloudflare Web Analytics, a privacy-friendly analytics service that does not use cookies, does not collect personal data, and does not track individual visitors. This service is always active and does not require consent.

Anonymous form analytics

We collect anonymous, non-personal data about how visitors interact with our booking form to identify usability issues (fields interacted with, time on form, device type). No personal information (name, email, phone) is collected. Lawful basis: legitimate interest (GDPR Article 6(1)(f)).

Legal basis

Non-essential tracking (Meta Pixel, Meta Conversions API, attribution cookies and localStorage, Microsoft Clarity) is only activated after you provide explicit consent via our cookie banner, in accordance with GDPR Article 6(1)(a) and the ePrivacy Directive (2002/58/EC, as amended by 2009/136/EC, transposed into Greek law by Law 3471/2006). Anonymous form analytics and Cloudflare Web Analytics operate under legitimate interest (GDPR Article 6(1)(f)).

Managing your consent

You can withdraw your consent at any time by:

  • Clearing your browser cookies and localStorage for this site — the cookie banner will reappear on your next visit, allowing you to choose again
  • Using your browser's cookie settings to block third-party cookies
  • Contacting us at felix@domaineflorian.com — on request we will delete any attribution data tied to your booking and signal a deletion to Meta via the Conversions API deletion endpoint

Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.

12. Governing Law

These terms are governed by the laws of the Hellenic Republic (Greece). Any disputes arising from or in connection with these terms shall be subject to the jurisdiction of the courts of Thessaloniki. This clause does not affect your statutory rights as a consumer under mandatory provisions of the law of your country of habitual residence.
